Commercial terms and operational schedules stay distinct and connected.

The job continues after the quote.

At Paragon Traffic Management, the quote is the start of a job that still has to be planned, delivered and invoiced. The team needs to know what the customer agreed to, what’s happening on each day and what has changed along the way. When those details sit in different places, it gets harder to see whether the work and the billing still line up.

I’ve led the technical delivery through Unified Support Solutions, working through John Rago Consulting alongside Chris and Value-First Team, the other developers and Paragon’s team. Together, we’ve worked on the process, the data model and the tools inside HubSpot that connect those parts of the job.

Keep each part of the job connected.

The flow starts with an enquiry and a quote. Traffic management work has details that affect both planning and price: the equipment needed, the days and shifts, and the work before and after the main job. Capturing that structure in the quote gives the team an agreed starting point they can carry into delivery.

Once the quote is accepted, the job can be broken into schedules for the relevant days and phases of work. The commercial order and the operational schedules stay linked, while each keeps the detail it needs. That distinction matters: the customer’s agreed price and the people or equipment allocated to a particular day are related, but they serve different purposes.

The UI extensions make those connections usable. In Job Manager, the team can work through the quote, manage the schedules, review changes and look at the job’s billing position from the HubSpot record. The data model provides the connections; the interface brings the information and the actions together where someone is trying to get the job done.

That becomes especially useful when the work changes. An extra day, a revised quote or a change to the schedule needs to be considered alongside what was already agreed and delivered. Bringing those records together helps the team see what needs attention, including when the order is still based on an earlier quote or completed work needs a billing review.

At invoicing, the team can compare the commercial items with the schedules and existing invoices, review what is eligible to bill and select the items for an invoice. The integration carries the HubSpot invoice into Xero. Keeping that trail connected makes it easier to investigate a gap without having to reconstruct the job from separate pieces of information.

A system the team can keep improving.

For Paragon, this has meant a more connected operation from enquiry through invoicing, better visibility into changes, completed work and billing gaps, and a system the team can use and keep improving. A gap becomes something the team can inspect and work through, with the underlying job information available to help explain it.

Paragon brings the operational knowledge and feedback from using the system. John Rago Consulting leads the client relationship, and Chris and Value-First Team contribute architecture and change management. My role is to connect that understanding to technical delivery and help the team keep developing the system as the way they work becomes clearer.
